Host an Event During the 2026 AANS Annual Scientific Meeting

The AANS is pleased to offer the opportunity for your organization to host a business-related event such as a committee meeting, board meeting, or educational session during the 2026 AANS Annual Scientific Meeting in San Antonio, Texas.  

To host your event during the 2026 AANS Annual Scientific Meeting, please submit your function space request by Wednesday, February 11, 2026. 

Function space will be available at the Henry B. González Convention Center and the San Antonio Marriott Rivercenter on the River Walk; assignments will be based on set-up and availability. To request space, click the link below to Submit a Function Space Request. 

2026 AANS Annual Scientific Meeting Function Space Request Form  

A separate request must be submitted for each individual function. Please complete the form in full so we can assign the appropriate meeting space for your needs. A list of available function dates and times is provided below to assist in your planning. 

Functions may not be scheduled during official scientific program hours or during any official AANS social events, including the Sip, Savor and Showcase event.

All requests will be reviewed on a first-come, first-served basis. Submissions received after the deadline may not be accepted due to limited availability.

Space assignments will be confirmed by the week of March 4, 2026.

Note: 

  • Approved time slots are subject to change. 
  • Function space for the 2026 AANS Annual Scientific Meeting may be assigned in either the Henry B. González Convention Center or the San Antonio Marriott Rivercenter on the River Walk. Assignments will be made based on event setup needs, size, and overall availability. 
  • All expenses related to audio-visual services, equipment, and food & beverage will be the responsibility of the requesting group. Billing arrangements must be made directly with the service providers. Contact information for the hotel and AV company will be provided once your space is confirmed. 
  • Requests received after March 4, 2026, will be considered on a space-available basis. 

 

Cancellation Policy – Function Space Requests 

Meeting space assignments will be communicated in the week of March 4, 2026. Upon assignment, the requesting organization shall execute a contract with the designated hotel or CVB for food and beverage, and audiovisual services. 

 If the organization cancels after execution of the Agreement, it shall be liable for 10% of the estimated total of contracted charges. If cancellation occurs on or after April 17, 2026, the organization shall be liable for 100% of total contracted charges. Execution of the Agreement constitutes acknowledgment and acceptance of this policy.
