Alumni Reception Request
The 2026 AANS Annual Scientific Meeting in San Antonio is a great opportunity to bring together alumni, mentors and colleagues from your training program. Hosting an Alumni Reception provides a welcoming and informal setting to reconnect, celebrate shared experiences and expand your professional network within the neurosurgical community. These events offer a meaningful way to build lasting relationships, explore future collaborations and strengthen ties with your institution.
All approved alumni receptions will be featured on the AANS Annual Scientific Meeting website to help promote your event.

How to Reserve Your Reception Space:
To request space, please complete the online form
AANS has coordinated with the San Antonio Marriott Rivercenter on the River Walk and Henry B. González Convention Center to offer both 60- and 90-minute reception options to accommodate a range of budgets and group sizes.
Space assignments will be confirmed in the week of March 4, 2026. Once assigned, you will work directly with hotel/convention staff to finalize event details, including room setup, catering, and AV needs.
Note:
- Approved time slots are subject to change.
- All expenses related to audio-visual services, equipment, and food & beverage will be the responsibility of the requesting group. Billing arrangements must be made directly with the service providers. Contact information for the hotel and AV company will be provided once your space is confirmed.
- Requests received after March 4, 2026, will be considered on a space-available basis.
Cancellation Policy – Alumni Reception Requests
Meeting space assignments will be communicated in the week of March 4, 2026. Upon assignment, the requesting organization shall execute a contract with the designated hotel or CVB for food and beverage, and audiovisual services.
If the organization cancels after execution of the Agreement, it shall be liable for 10% of the estimated total of contracted charges. If cancellation occurs on or after April 17, 2026, the organization shall be liable for 100% of total contracted charges. Execution of the Agreement constitutes acknowledgment and acceptance of this policy.
